DOCUMENT IMAGING

Gain all the benefits, avoid the pitfalls of going digital

Converting your paper-based records into electronic documents can yield great benefits, but many problems can potentially undermine the effectiveness of a document imaging solution. Scanning every one of your documents is both time consuming and costly.

Rely on Iron Mountain expertise

With Iron mountain's Document Conversion Services, you can implement a new digital imaging program or have our workflow consultants help to redesign your current program to make it more cost-effective by only scanning documents as they are needed.

Iron Mountain Document Conversion Services provide:

  • Intelligent scanning: scan only what you need, when you need it
  • Extensive expertise in backfile and day-forward scanning
  • Rapid availability of rarely accessed documents
  • Lower costs by only digitizing requested documents
  • Solutions that integrate with your current paper workflow
  • Seamless interfaces with existing document management systems
  • Best practices for document security, access, and compliance
  • Rapid implementation with little or no capital investment

An intelligent, efficient approach to digitizing your documents

Scanning 100 percent of your documents may not provide the most cost-effective solution for your particular situation. Iron Mountain document imaging solutions provide intelligent scanning, based on access requirements. Frequently accessed documents or important elements - such as the customized coverage page of an otherwise standard insurance policy - are scanned. Rarely accessed documents are not scanned until they are actually requested; documents are then quickly delivered through our Image On Demand service. This “pay as you go” service minimizes costs by only digitizing requested documents.

A well-designed, selective scanning program can yield dramatic reductions in conversion costs, while still meeting document access requirements.

Desktop capabilities that streamline imaging

Capabilities for desktop document capture allow you to consistently and efficiently capture and image documents from widely distributed locations and quickly make them available for retrieval.

Documents are indexed by those who know them best - your knowledge workers - during their standard workflow. Indexing information is entered via a web interface, and a pre-printed barcode sticker is affixed to each document, giving it a unique, electronically recognizable identity.

At a convenient time, documents are converted to digital images with a scanner, a network-connected photocopier, or a fax machine and sent to an Iron Mountain server. Images and index records are then matched with software and made available to your end users for simple search and retrieval. The document capture process stays under your control, with documents kept in-house while being processed.
